Mimecast Aware: capture, search and govern Microsoft Teams, Slack and Zoom

A subject access request, a regulator or a legal hold reaches the conversations that now happen in Teams, Slack and Zoom, and native export was never built to answer them. Mimecast Aware captures that data in full, lets you search one person’s entire footprint, holds it immutably when a matter is anticipated, and flags sensitive data and conduct as it happens. C4C Group is an accredited UK Mimecast partner and reseller. We supply, implement and support Aware, and we tell you when you do not need it.

What it does

Six jobs native tools do badly

Captures the full record

Collects Microsoft Teams, Slack and Zoom conversations through their native APIs, including edits, deletions and reactions, so what you hold is the conversation as it happened rather than a snapshot of what is left.

Searches one person’s whole footprint

Granular search across channels, group chats and direct messages for a named individual, which is exactly what a subject access request or an investigation asks for and what native tools make slow.

Classifies and retains

Classifies collaboration data by type, sensitivity and retention need, and applies retention policies to it, so you keep what you must and can show why the rest has gone.

Immutable legal hold

Places holds across collaboration data the moment a matter is anticipated, with an audit trail of who did what and when, which is what makes a hold defensible.

Flags sensitive data and conduct

Detects personal and regulated data, intellectual property and inappropriate language inside chat as it happens, and alerts the right team, so a problem is a ticket rather than a finding.

Removes a user’s data on request

Automates the removal of an individual’s collaboration data when an erasure request or a leaver process requires it, without a manual trawl through every workspace.

Honest fit

Where Aware is the right buy, and where it is not

Right for

Organisations that receive subject access requests, hold data for a regulator, or run legal holds, and whose working day happens in Teams, Slack or Zoom. Regulated sectors, legal, compliance and HR functions, and anyone who has already discovered that native export does not scale.

Think twice if

Collaboration use is light and requests are rare, in which case native tools may be enough for now. Or if Mimecast Cloud Archive already captures your Teams data as part of a wider archive, in which case check the overlap before you buy a second capture. Aware is a governance and records product, not a security control; securing the tools themselves is a different question.

The head to head with Microsoft is in Aware vs Purview eDiscovery. The problem side is covered in our guide to subject access requests in Microsoft Teams. The security side, stopping threats inside the tools, is a different question, covered in securing collaboration tools. Archiving and retention more broadly is in email archiving, retention and eDiscovery.

Questions

Frequently asked questions

What is Mimecast Aware?

Mimecast Aware is a collaboration governance and compliance platform. It captures conversations from Microsoft Teams, Slack and Zoom, including edits and deletions, into a searchable store, classifies and retains that data, supports immutable legal holds with audit trails, detects sensitive data and inappropriate conduct in real time, and can remove a user’s data when required.

Does Mimecast Aware slow down Microsoft Teams?

No. Aware connects through the platforms’ own APIs, including the Microsoft Graph API for Teams, and processes the data outside the user’s session. Users see no change to how Teams, Slack or Zoom behave.

How does Aware help with a subject access request?

A subject access request covers everything you hold about a person, including Teams and Slack messages. Aware lets you search one individual’s entire collaboration footprint in one query, export what is in scope for review and redaction, and show the audit trail behind it. That turns a manual scramble against a one month deadline into a search you can run and stand behind.

Does Aware replace Mimecast Cloud Archive?

Not necessarily. Cloud Archive captures Teams data as part of a wider email and collaboration archive. Aware goes deeper on collaboration: fuller capture, better search across a person, real time detection and automated removal. Some organisations need both, some need one. C4C will tell you which, because we are paid the same either way.

Can C4C supply and implement Mimecast Aware?

Yes. C4C Group is an accredited UK Mimecast partner and reseller, so we can source, implement and support Aware as well as advise on it. Our independence is in the recommendation, our partnership is in the delivery and support. Where a client is better served by native tools or by Cloud Archive alone, we say so.

How is Mimecast Aware priced?

Aware is licensed per user and priced on quote, depending on the platforms connected, the user count and the term. C4C will give you a like for like quote and tell you what is negotiable. Send us your user count and the platforms in use and we will come back with a figure.

Could you answer a subject access request that reaches Teams today?

Tell us your platforms and user count. We will give you a like for like quote for Aware, say whether you need it, and show you what it looks like against your own tenant.
